Sometimes you want to make your to-do items in a workflow compulsory.  This means the milestone that the to-do item is part of will not be able to be completed until that to-do item is marked as done.

This is a great way to make sure team members don’t forget important tasks or compliance steps.

 

How to make an existing to-do item compulsory in your master workflow

Click the Setup link next to your name.

 

Click on the Workflow box

 

Find the workflow you want to add the compulsory to-do item to and hover your mouse over the milestone you want to add it to.

Click the Edit button

 

In the left-hand column of this screen is a section called To-do List. Find the item you would like to make compulsory and tick the ‘Compulsory’ box underneath it.

 

Click the Save button to save your changes.

Important Note: All new cases created from this workflow will have the selected to-do item/s as compulsory. It will not affect existing cases.

 

How to setup a new compulsory to-do item for a workflow

As above, select the workflow you want to add a new to-do item to.

At the bottom of the To-do List click the + Add New To-Do Item button.

 

A new, empty to-do item will appear at the bottom of the list.

In the first box enter the to-do item text that will appear on the case next to the mark as done button e.g. “Send client care pack”

To make this item compulsory tick the ‘Compulsory’ tick box.

Click the Save button to save your changes.

How to make an existing item compulsory in a case

If you need to make a to-do item in an existing case compulsory you can.  This will only affect the case in which the change is made.

Click the Cases link next to your name.

 

Open the case you wish to add the compulsory to-do item to by either clicking on the case address or the View button.

 

Click on the milestone that contains the to-do item.

 

Click the Edit button in the main Hoowla navigation bar.

 

In the left-hand column of this screen is a section called To-do List.  Find the item you would like to make compulsory and tick the ‘Compulsory’ box underneath it.

Click the Save button to save your changes.

This item will now be compulsory.

What does a compulsory to-do item look like in a case?

If a milestone has a compulsory to-do item a blue bar will be displayed within the milestone and the compulsory item will be highlighted with a bold asterisk* next to it.
